A useful starting point is a short description of the concern: where you noticed debris, which rooms are involved, and whether anything changed recently. Mention a renovation, equipment replacement, or previous service if you know about it.
Separate what you have observed from what you think caused it. “Dust is visible around the upstairs register” gives the team something specific to discuss. If a room feels uncomfortable, explain that separately so the conversation can include whether cleaning, duct repair, or equipment attention is appropriate.

If you do not know a detail, say so. There is no need to enter a difficult attic or move equipment just to complete an inquiry. Share any service records you already have and ask what else the team needs to discuss the scope.
Confirm what the estimate includes
Ask which supply and return sections are included and whether equipment work or dryer vent cleaning is separate. A package name should come with a description of the actual tasks. Coolerado offers cleaning levels based on system condition; ask how the proposed level fits the findings.

Clear ordinary walking routes of loose storage.
Point out large furniture or built-ins that limit access.
Discuss moving heavy items before attempting it.
Arrange for an authorized person to provide entry.
Keep pets away from the planned work area.
For a rental, confirm who can approve the work. For a business, share occupied hours and rooms that need to remain available. If equipment is shared, coordinate with the person responsible for that system before confirming arrangements.

Keep a few questions for the follow-up
Ask how access limits will be reported, what cleanup is included, and how any additional work would be discussed. If photographs are part of the explanation, ask which area each image shows. Review what was completed and any findings that need a separate decision.
